Terms and Conditions of Hire

These Terms and Conditions ("Terms") govern your use of portabletoiletrentals.co.uk (the "Website") and any portable toilet or welfare unit hire quote, booking or service arranged through us ("Portable Toilet Rentals", "we", "us", "our"). By submitting a quote request or confirming a booking, you ("you", "the Customer") agree to be bound by these Terms.
Please read these Terms carefully. If you do not agree to them, please do not use the Website or our services.
1. About Us and Our Service
Portable Toilet Rentals provides an online quote and enquiry service for portable toilet and welfare unit hire for events and worksites across the UK. In many cases, your enquiry and booking will be fulfilled directly by us or passed to a vetted local supplier partner best placed to serve your postcode and requirements. Where a third-party supplier fulfils your hire, that supplier's own terms of service for delivery, collection, and on-site conduct will also apply alongside these Terms.
We operate on an email-only basis: leads@portabletoiletrentals.co.uk. We do not publish a postal address or telephone number on this Website.
2. Getting a Quote
- You submit your enquiry via our quote form, providing your name, postcode, email address, event/site type, hire duration and (optionally) a phone number.
- We (or a matched supplier) review your requirements and respond by email, and by phone if you provided a number, with a quote based on the information given.
- A quote is valid for the period stated in the quote email, and is subject to change if your requirements, dates, or site details change.
- A quote is not a confirmed booking. A booking is only confirmed once accepted in writing (by email) by both parties and, where applicable, any required deposit or payment has been received in accordance with Section 6.
3. Booking Confirmation
- A booking is confirmed once you have accepted a quote in writing and we (or the fulfilling supplier) have issued written confirmation by email.
- The confirmation email will set out the agreed unit type(s), quantity, delivery address, delivery and collection dates, hire duration, and price.
- It is your responsibility to check the confirmation carefully and notify us immediately of any errors, as changes made close to the delivery date may not always be possible or may incur additional charges.
- Site access must be suitable for delivery vehicles. You are responsible for confirming that the delivery location is accessible, level, and that any necessary permissions (e.g. from a landowner, local authority, or site manager) have been obtained prior to delivery.
4. Cancellation Policy
- More than 7 days before delivery: Cancellations made more than 7 days before the scheduled delivery date will receive a full refund of any deposit or payment made, less any non-recoverable administration or processing fees already incurred.
- 48 hours to 7 days before delivery: Cancellations made within this window may be subject to a cancellation charge of up to 50% of the total hire cost, to cover unit allocation, transport scheduling and preparation costs.
- Less than 48 hours before delivery, or no-show/failed access on the day: Cancellations made within 48 hours of the scheduled delivery, or where our driver/supplier attends site and is unable to deliver due to access issues, incorrect information provided, or the Customer not being available, may be charged the full hire cost.
- Rescheduling: We will always try to accommodate a date change in place of a cancellation where reasonably possible, subject to availability, and this is generally preferable to cancelling outright.
- Our right to cancel: We reserve the right to cancel or postpone a booking due to circumstances beyond our reasonable control (see Section 9, Force Majeure), extreme weather, or site access/safety concerns, in which case you will be offered a full refund or an alternative date.
Cancellation requests must be made in writing to leads@portabletoiletrentals.co.uk, quoting your booking reference. The cancellation is only effective from the date we acknowledge receipt.
5. Delivery and Collection
- Delivery and collection dates and approximate time windows will be confirmed in your booking confirmation. Exact delivery times cannot usually be guaranteed due to routing and traffic conditions, but we will aim to keep you informed of any significant delay.
- You (or a nominated representative) must ensure the delivery site is accessible, reasonably level, and clear of obstructions on the agreed delivery date.
- Units remain the property of us or our supplier partner throughout the hire period. You are responsible for the unit's reasonable care while on site, ordinary wear and tear excepted.
- Units must be accessible for collection on the agreed collection date. If a unit is not accessible for collection (e.g. site locked, blocked access), additional charges may apply for repeat collection attempts, and continuing daily hire charges may accrue until collection is completed.
- Any extension to the hire period must be requested and agreed in advance and will be charged at the applicable daily/weekly rate.
- Servicing (waste removal, restocking of consumables) during longer hires will be arranged as agreed at the time of quote, and is charged separately unless included in your package.
6. Payment Terms
- Prices quoted are in GBP and, unless stated otherwise, are inclusive of VAT where applicable.
- For most bookings, full payment or an agreed deposit is required in advance of delivery, as specified in your quote/confirmation. Business/trade account customers may be offered invoiced payment terms at our discretion, subject to a separate credit agreement.
- Accepted payment methods will be confirmed in your quote email.
- Late payment of any invoiced amount may incur statutory interest under the Late Payment of Commercial Debts (Interest) Act 1998, where applicable to business customers.
- Additional charges (e.g. excessive soiling, damage beyond fair wear and tear, extended hire, failed access on collection) will be invoiced separately after the hire period and are payable within the timeframe stated on the invoice.
- We reserve the right to withhold delivery or collection where payment terms have not been met.
7. Customer Responsibilities
You agree to:
- Provide accurate information about your event/site, access, and required hire duration.
- Ensure reasonable and appropriate use of hired units and take reasonable care to prevent damage, misuse or excessive soiling beyond normal use.
- Notify us promptly of any fault, damage, or servicing issue with a unit during the hire period.
- Obtain any permissions needed for the unit's placement on the delivery site (e.g. from landowners, event organisers, local authorities).
- Ensure a hired unit is not moved, relocated, or interfered with by unauthorised persons once positioned.
You will be liable for the reasonable cost of repair or replacement of any unit that is lost, stolen, or damaged beyond fair wear and tear during the hire period, and for any excess cleaning charges resulting from misuse.
8. Liability
- Nothing in these Terms excludes or limits our liability for death or personal injury caused by our negligence, for fraud, or for any other liability that cannot lawfully be excluded or limited under English law.
- Subject to the above, our total liability to you arising out of or in connection with a hire arranged through us, whether in contract, tort (including negligence) or otherwise, is limited to the total price paid for the relevant hire.
- We are not liable for any indirect or consequential loss, including loss of profits, loss of enjoyment of an event, or losses arising from delay caused by circumstances outside our reasonable control.
- Units are supplied on the basis that they are fit for normal use as portable sanitation equipment; any faults should be reported immediately so they can be remedied.
- Where a booking is fulfilled by a third-party supplier partner rather than directly by us, that supplier is responsible for the safe delivery, installation, servicing and collection of the equipment, and their own liability terms and insurance apply to the physical hire; we remain responsible for the accuracy of the quote and booking process itself.
9. Force Majeure
We will not be liable for any failure or delay in performing our obligations where this is caused by events beyond our reasonable control, including but not limited to severe weather, flooding, strikes, road closures, vehicle breakdown, supplier failure, or other circumstances that make delivery or collection unsafe or impracticable. We will notify you as soon as reasonably possible and agree an alternative date or, where appropriate, a refund.
10. Complaints
If you are unhappy with any aspect of your quote, booking, or hire, please contact us at leads@portabletoiletrentals.co.uk with your booking reference and details of your concern, and we will investigate and respond promptly.
11. Governing Law
These Terms are governed by the laws of England and Wales, and any dispute arising out of or in connection with them shall be subject to the exclusive jurisdiction of the courts of England and Wales.
12. Changes to These Terms
We may update these Terms from time to time. The version in force at the time you submit a quote request or confirm a booking will apply to that transaction. The "Last updated" date above reflects the most recent revision.
